2014 Children, Youth & Families Picnic Celebration Activity Area Reservation Information

When:   Monday, April 14, 2014 

Time:     3:30 - 7:30 PM

Where:  The North Plaza and North Lawn of the Oklahoma State Capitol

If there is rain, the event will be rescheduled for April 21, 2014 and from 3:30 to 7:30 p.m on the North lawn of hte Oklahoma State Capitol.

What:    A fun, free, family-friendly picnic event with 60 different activities areas (full of activities, games and crafts), entertainment, a family leadership training that will help families learn how to organize their child's important papers and community resource sharing!

Why: Healthy minds and bodies are important for every child. Communities must come together to assure that every child and family has the needed resources to reach their full potential.  Together, we can: support services for children and families, prevent problems before they start and create a system that works!

Cost:  Each activity area will cost $50 and one table and two charis will be provided for you.

Each activity area will be a 20' by 20' section of lawn located in the Capitol park area just north of the Capitol building. A representative from your organization must check-in at the registration table located near the loading/unloading zone on NE 24th Street. Your organization will be assigned to a specific area prior to the picnic. A map showing your designated area will be emailed to your contact persons listed below prior to the picnic. You are not allowed to change or swap activity areas with another organization. If you arrive and your activity area is muddy or swampy, another location will have already been arranged for you. You will receive notification of the change at the registration table.

Organizations are encouraged to bring enough manpower (and/or assistive devices such as carts and dollies) to set-up and tear down without assistance.

Per Department of Central Services Administrative Rules Facilities Management guide Section 580:10-7-3: Park use information:

• Use of audio devices and musical instruments may be restricted or altered to a decibel level which does not disturb other persons.

  • Digging which includes driving stakes into the ground is prohibited.

  • Contained fires may be authorized based upon intended use and climatological conditions. ***If we are in a burn ban please do not plan to have fire***

• Discharging or setting off fireworks is prohibited. *Possession of firearms, explosives, clubs, missiles, chemical incendiary devices or other weapons is prohibited.

• Waste accumulation of any kind in any area or manner so as to create a potential hazard to health, safety or property is prohibited.

A table and two chairs will be supplied for each activity area. Each activity area host is responsible for providing everything else you will need to run your activity for the duration of the picnic. This includes things like staff/volunteers, equipment and supplies needed for the activities and fun giveaway items and door prizes.

In case of rain or bad weather:  If there is rain, the event will be rescheduled for April 21, 2014, from 3:30 - 7:30 p.m. on the North Lawn of the Oklahoma State Capitol.  Decisions regarding event cancellation will be made no later than 10:00 p.m. on Sunday, April 13.  Please check the NAMI Oklahoma webpage (www.namioklahoma.org)  call (405) 230-1900 or check Facebook or Twitter for any updates regarding a cancellation.

In an effort to keep the Capitol grounds free from litter we ask that you refrain from distributing paper materials from your activity area. You may provide 500 copies of any paper materials or other goodies you'd like included in the registration bags. These bags will be available for all children youth & families at either of the registration tables.  These materials/goodies must be provided no later than Friday, April 4, 2014.

This Event will use photograph and record video and film footage in connection with archival, promotional and publicity campaigns of the Oklahoma Department of Mental Health and Substance Abuse Services. By your presence in this Event area, you acknowledge that you have been informed that you may be photographed and recorded as part of the release in video and/or any and all media now known or hereafter devised, in perpetuity, throughout the universe and by the advertising and publicity thereof. Further, by your presence here, you grant permission for your likeness and voice to be included therein without compensation, credit, or other consideration. If you do not wish your likeness to be recorded on video, please go to the registration table to receive a sticker designated for such purpose which must be worn throughout the Event. Thank you for your cooperation.
