Great News! We just finalized the contract details for our 2012 User Conference, which will be held on May 21st through the 23rd, at “The Inn on Bourbon” in New Orleans, LA.
As part of this negotiation we were able keep the registration and room cost lower than in past years, which is good news for all.
As with all events, there is a lot of planning involved, so we will need a few weeks before we can provide you with a tentative/draft agenda. I can say the overall format will be like last year, but with what we hope will be improvements to the group sessions.
In the meantime, we are ready to start taking registrations, so don’t hesitate to register, because registration size is limited. Our overall goal is 85 attendees, which is similar to last year’s event.
Registration Information:
This year the early registration fee is $375.00 per person for the first two attendees, and that price will be available until January 31st.
The regular registration fee is $400.00 per person for the first two attendees, and will be available from February 1st through April 20Th.
If you bring more than two attendees, the registration cost for attendees 3, 4, will be $375.00 per person, and attendees 5 and up will be $350.00 per person.
Any registration completed and collected after April 20th will be $500.00 per person.
Please Note: All registrations must be done online, using the link provided. When you register, you will have the opportunity to pay online via credit card, or by check. All registrations that opt for the check payment option will receive an invoice from EPMS within a few days of registration, and payment will be due within 30 days of receipt of invoice, or by April 20th, whichever comes first.
Hotel/Room Information:
Guest Room Block: EPMS’s current room block will be held until April 20th, we can add to the room block if necessary, should rooms still be available at the time of our request, but it will need to be done before April 20th.
All guest room commitments are for the dates outlined above. Bed types are on a request basis only and are not guaranteed. For those persons arriving early or staying over dates not identified above, we request that specific arrangements be made no later than April 20th to ensure your accommodations.
Room Rates: (Standard run of house rooms)
The rates quoted are net non-commissionable and are subject to any applicable city, county, state or federal tax that may apply at the time of room occupancy. Currently, the combined sales tax is 13% plus a flat $1.00 per room, per night occupancy tax.
Registration Cut-off:
The EPMS room block will be held until Friday, April 20, 2012. Reservation requests received after this date will be accepted on a space and rate available basis. Reservations may be made by calling the Reservations Department at (504) 524-7611 or (800) 535-7891.
Reservations must be guaranteed by one night’s deposit or a major credit card. Individual guest room deposits will be refunded if reservations are canceled Twenty-Four (24) hours prior to date of arrival.
Our reservation system will have the EPMS User Conference Group posted as Enterprise Print Management Solutions and EPMS. Please identify yourself as Enterprise Print Management Solutions or EPMS attendees when you call to make your reservations, to ensure you receive the group rate.
Arrival and Departure Info:
The Group’s guests and invitees will, at check-in, be asked to verify their intended dates of stay. Any such person checking out of the Hotel prior to the dates indicated at check-in will be charged one night’s room and tax, for such early departure.
Walk Policy:
The Inn on Bourbon Hotel, agrees that, in the event a room is not available for a guest holding a guaranteed reservation, the Hotel will pay for: - One night’s room and tax at a comparable hotel - Transportation to the hotel - One long distance phone call - Transportation to return to the Hotel the next available day
Transportation and Parking:
Transportation to and from the airport is provided through Airport Shuttle Incorporated. They can be reached at 504-522-3500. The cost is $20.00 per person one-way. Valet parking is available to all guests of the Hotel at a cost of $30.00 per day, plus tax with complimentary in and out privileges. These costs are subject to change without notice. Only one (1) car is allowed per room. No motorcycles will be allowed to utilize the parking facilities without prior authorization. If hotel management approves authorization, the $30.00 per day fee, per motorcycle will apply.
