EXHIBITORS

EXHIBIT INFORMATION 

All breaks and breakfast will be located in the main exhibit area to ensure maximum traffic to display areas. Exhibitors are invited and encouraged to attend all sessions and meals. Registration for sessions is NOT required.  A portion of the exhibitor fee is used for the Rural Michigan OsteoCHAMPS Scholarship.

EXHIBIT DATES & HOURS 

• Thursday, November 10^th; 11:30 a.m. - 6:15 p.m.
• Friday, November 11^th; 7:00 a.m. - 11:15 a.m.

EXHIBIT SET-UP & DISMANTLING (times are subject to change)

Set-up time: Grand Ballroom AB

• Wednesday, November 9^th, 5:00p.m. – 7:00 p.m.
• Thursday, November 10^th, 8:00 a.m. - 11:00 a.m.

*NOTE: Lunch will be in the Ballroom CD starting at 12:00 p.m. Exhibitors must fill out the registration portion if they will be attending lunch. 

Dismantling:

• Friday, November 11th after 9:45 a.m. 

VENDOR CARD DRAWING

• Each exhibitor is required to bring a gift
• The Vendor Card Drawing encourages conference participants to stop by each exhibitor table to obtain
• State your organizatgion's gift on the Exhibitor Registration Form
• Conference participants who visit each exhibitor table are then eligible for the drawing
• Winners will be prominently displayed in the exhibitor area with the name of the gift from the exhibitor
• Please keep your gift at your exhibitor table until the time of the Vendor Card Drawing. Gift will be picked up by the winner

ASSIGNMENT OF SPACE 

• MCRH staff will assign the exhibit space as each Exhibitor and Sponsor Prospectus is processed 
• MCRH will contact exhibitors prior to conference to notify you of your assigned booth number

PAYMENT 

Registration Form for exhibit space must be accompanied with the exhibit payment in order to confirm booth assignment. 

CANCELLATIONS AND REFUNDS
All cancellations must be in written format and received by Friday, October 7, 2016. A cancellation fee of $50.00 will be deducted from each refund. All refunds will be processed after the conference. No refunds will be made AFTER August 31, 2016.

Should a guest cancel their hotel reservation, please  notify  Shanty Creek Resorts by Friday, November 4, 2016 or five days prior to arrival. 

 

LODGING

• Guest Room Rate: $85.00 per night
• Studio Parlor Room Rate: $105.00 per night

All representatives from each organization are responsible for their hotel reservations. 

• Call Shanty Creek Resorts at (231) 533-8621 to make hotel accommodations. 
• Please ask for the"Vendor MI Center Rural Health Conference" block when reserving a hotel room.

EXHIBIT TABLE: $700 

• Exhibit space is a standard 8-foot exhibit table (Please make sure the size of your exhibit material can be accommodated on the table. Exhibits that do not conform to size may be rejected)
• Please indicate if electrical access is necessary on the registration form
• TWO representatives from your organization may attend 
• Organization's name, contact information, logo, and brief description will be listed in the Exhibitor/Sponsor booklet included in each participant's folder
• MCRH staff will assign the exhibit space as each Exhibitor and Sponsor Prospectus is processed 

*NOTE: MCRH will notify you by email prior to the conference of  your exhibitor booth number)

FULL-PAGE ADVERTISEMENT: $100 

• Organizations can choose to include a full-page, portrait-style, black and white advertisement in the Exhibitor/Sponsor booklet measuring 7 ½ x 10 inches
• Advertisements need to be emailed to mcrhaa@hc.msu.edu by Thursday, October 20, 2016. 

DOUBLE-PAGE ADVERTISEMENT: $250 

• Organizations can choose to include a double-page, landscape-style, black and white advertisement in the Exhibitor/Sponsor booklet measuring 15 x 20 inches
• Advertisements need to be emailed to mcrhaa@hc.msu.edu by Thursday, October 20, 2016.

SPONSOR BENEFITS

• Organization's name, contact information, logo, and brief description is listed in the Exhibitor/Sponsor booklet included in each participant's folder
• Organization will receive a one-page ad, portrait-style, black and white advertisement in the Exhibitor/Sponsor booklet measuring 7 ½ x 10 inches
• Organization's name/logo and sponsorship prominently displayed in the conference PowerPoint
• Attendance at all sessions
• List of attendees;  including name, organization, and email address one week prior to the conference

Lanyard Sponsor: $800

• Your company name and/or logo will be exclusively advertised on  conference lanyards
• Lanyards are provided by the sponsoring company and must be given to MCRH staff during the Exhibitor Setup times
• Includes one page ad in Exhibitor/Sponsor booklet

 Tote Bag Sponsor: $500

• Your company name and/or logo will be exclusively advertised on conference tote bags
•  Tote Bags are provided by the sponsoring company and must be given to MCRH staff during Exhibitor Setup times
• Includes full-page ad in Exhibitor/Sponsor booklet to be emailed to mcrhaa@hc.msu.edu

 Beverage Ticket Sponsor: $1,000

• Each conference participant is invited to Thursday evening’s reception
• Representative(s) from your organization will have the opportunity to pass beverage tickets out and greet attendees at the reception
• Includes full-page ad in Exhibitor/Sponsor booklet to be emailed to mcrhaa@hc.msu.edu

 Personalized Key Cards: $600

•  Company can choose to print on both sides - the magnetised strip needs to be taken into account. Dimensions: 4" in length and 3" in width
