The 2017 AIA Kansas Conference Planning Committee is now accepting exhibitor and sponsor registrations for this year’s conference, which is being held October 18–19, 2017, at The Oread hotel in Lawrence. The Oread is located near the University of Kansas main campus in an area known as “The Hill.”

Sponsorship:

The upcoming 2017 AIA Kansas Conference offers a wide variety of sponsorship opportunities allowing you to reach design and construction professionals (architects, engineers & contractors) from Kansas and the region. All sponsors receive recognition in the conference program, are recognized at the conference (including signage) and are listed on the AIA Kansas website.  Click on the "Register Now" button below to register for sponsorship.

Furnishings:
Booth furnishings and equipment are the responsibility of the exhibitor.

Electricity:
Electricity is being provided to exhibitors at no charge upon request, however the exhibitor will be responsible for providing their own extension cord and power strip.  IF YOU REQUIRE ELECTRICITY PLEASE CHOOSE A BOOTH ALONG THE WALLS OF THE EXHIBIT HALL, IF POSSIBLE.

On-site Exhibit Manager:
Information about additional booth furnishings (i.e. A/V equipment, extra tables/chairs etc.) and set-up/tear-down assistance can be obtained by contacting Cytek Media of Topeka: 785-295-4200. 

Set-up/Tear-down:
Set Up:  1:00 pm - 5:00 pm on Wednesday, October 18, in the Hancock Ballroom of the Oread Hotel.
Tear Down: 1:30 - 3:00 pm on Thursday, October 19.

Shipping Information:
Supplies will be stored at a location off site. Items will not be accepted any earlier than Monday, October 16.   In the event that you are needing to ship your booth supplies ahead of time, please contact Kelly Engelke to make arrangements.  It is the vendor’s responsibility to arrange return shipping.
 
NOTE:  The Oread Hotel does NOT have a loading dock.  Please plan accordingly by keeping the size of your booth supplies to a minimum.

Meals:
Thursday, October 19 

Continental breakfast: 7:30 am - 9:00 am.  As an exhibitor, you will receive one breakfast ticket which is included in your complimentary registration. Extra breakfast tickets can be ordered on the registration site.
 
Box lunch: 12:00 - 1:30 pm.  As an exhibitor, you will receive one lunch ticket which is included in your complimentary registration.  Extra lunch tickets can be ordered on the registration site.

Drink Tickets:  4 drink tickets are included in complimentary registration.  Extra tickets can be ordered on the registration site.
 
NOTE:  Select levels of allied membership receive additional tickets 

Cancellation/Refunds:
Requests for cancellation must be made in writing and sent either by registered or certified mail.  A full refund of exhibit fees, less a $50 processing fee, will be issued if space is cancelled in writing prior to August 15, 2017, after which fees are non-refundable.

Liability:
It is expressly understood and agreed by the signing of the registration form that the Exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of the injury or damage to exhibitor’s person, display, equipment and other property brought onto the premises of the Oread Hotel. The Exhibitor shall hold harmless AIA Kansas and the Oread Hotel and their agents, servants and employees from any and all such losses, damages and claims. Exhibitors playing copyrighted music in the exhibit hall are responsible for all royalties.

Overnight Accommodations:
Overnight accommodations have been reserved at a special rate of $129/night at the Oread and Eldridge Hotels to serve your overnight needs.   For more information or to reserve a room, please call:
