Transportation Information 

Fly to Vancouver International Airport (YVR).

Whistler Shuttle offers van or bus transfers scheduled around your flights. You must book at least 72 hours in advance. Group rates: $49 CAD each way on peak travel days (May 22/23 and 26/27), $55 CAD other days, +5% GST. Shuttles run from 8am until 8pm

Visa and NEW eTA Information 

If you require an invitation letter for a visa application to attend this meeting, please register and then contact the meeting planner. Letters will not be issued after May 10, 2016.

Beginning in 2016, visa-exempt foreign nationals will need an Electronic Travel Authorization (eTA) to enter Canada. Exceptions include U.S. citizens and foreign nationals with visas. The cost is $7 CAD. To apply you must have a valid passport and a credit card. You do NOT need an invitation letter. The eTA is valid for up to five years. The mandatory eTA requirement has recently been delayed until September 2016, however Canada encourages your participation for the May meeting.

Whistler is a year round destination for outdoor activities including skiing, hiking, biking, golf and more. Primarily a walking village, Whistler is home to dozens of restaurants, pubs and shops, as well as a library and cinema. Monday May 23, 2016 is a BC holiday, so book early if you plan to arrive before Monday! Hotels will sell out Saturday and Sunday nights before our meeting and for Memorial Day weekend beginning Friday May 27.

Meeting Hotel Information

The Fairmont Chateau Whistler is offering a group rate of $185 CAD, exclusive of taxes, until 22-April at 5pm Pacific Time, based on availability within the room block. The group rate will be extended three days before and after the room block dates of 21-May through 27-May, if rooms are available. The group rate is not available from the Fairmont website, only from the group reservation page. For telephone reservations, use Group Code 0516ETHE on 1-888-495-2126. Please book early to ensure availability, especially for weekend arrival or extended stays!

There are no mandatory hotel fees for rooms reserved at the group rate. Overnight parking rates are: Valet parking $39 CAD; self parking $26 CAD (discounted fee for rooms reserved at the group rate). 

Hotel Reservation, Cancellation and Early Departure Policies

Guests may change their arrival date, length of stay or cancel a reservation entirely up to 72 hours before check in without penalty. 

Individuals who cancel a reservation less than 72 hours before check in, or who fail to claim a reservation (No-Show), will be charged one night's room and tax. Individuals who change their arrival date less than 72 hours before check in may be charged for their previously reserved first night at the discretion of the hotel. This charge will be posted to the individual guest credit card provided to guarantee the room reservation.

The Fairmont charges an Early Departure Fee of one night's room and tax for guests who depart prior to their confirmed departure date.

Regional Hotel Discount for Pre- or Post-meeting Stays

Fairmont has offered discounts at its other British Columbia hotels based on availability. If you wish to book a room at the Vancouver airport, in downtown Vancouver or in another BC Fairmont before or after the meeting, please use Promotional Code PRBPP1 when booking on the Fairmont website.

Registration

Any individual who attends any part of this interim meeting must register and pay a meeting fee. Meeting registration is not transferrable. Registration and meeting fee options are as follow:

Early Registration (Before 11:59pm PDT Tuesday April 26, 2016)

  • $350 US for attendees staying at Fairmont Chateau Whistler (Fairmont)
  • $650 US for all other attendees (those not registered at Fairmont)

Late/Onsite Registration (After 11:59pm PDT Tuesday April 26, 2016)

  • $600 US for attendees staying at Fairmont Chateau Whistler (Fairmont)
  • $800 US for all other attendees (those not registered at Fairmont)

The meeting fee covers AV equipment, network/Internet services, power hook-ups for laptop computers, continental breakfast, morning and afternoon refreshments, and meeting services and supplies.

The combined hotel room stays of 802.3 attendees covers the meeting rooms themselves. For this reason, anyone who is not a registered guest at the Fairmont Chateau Whistler must pay a higher meeting fee than attendees staying at the meeting hotel. The correct meeting fee must be paid prior to receiving your badge, which permits entrance to scheduled sessions.

Cancellation Policy

If you register for this meeting and then are unable to attend, please contact the meeting planner. You must request cancellation of your registration no later than 5pm PDT Friday May 13, 2016 to receive a refund of your meeting fee.
