Epically Geeky Expo 2019 - Vendor, Artist & Sponsor Registration

Celebrate ALL THINGS GEEK! Our fan-driven event features activities for kids and adults. Epically Geeky Expo (EGX, formerly Geekfest) will be held at Central Texas College in Killeen May 17-19, 2019. EGX is a volunteer-run event hosted by the Central Texas College Foundation and all proceeds go to scholarships and other educational programs.

EGX Vendors must sell or promote items/programs that fall into one of the following categories: geeky (this includes  but is not limited to sci-fi, fantasy, tv shows, movies, comic books, graphic novels, books, tabletop/board/RPG/video games, anime and cosplay), STEAM (Science, Technology, Engineering, Arts and Mathematics), or maker (handmade or 3-d printed items).  

Vendor Hall will be open Saturday and Sunday May 18-19. Sponsor and vendor opportunities are listed below. View full Vendor Rules HERE for detailed information about vendor participation..

Jedi Padawan Level Sponsor (Vendors): $85-$125

  • $85 for vendors that register and pay before Jan 31, 2019
  • $100 for vendors that register and pay Feb 1-Apr 30, 2019
  • $125 for vendors that register and pay May 1-16, 2019 (space available)

  • EGX Vendors must sell or promote items/programs that fall into one of the following categories: geeky (this includes  but is not limited to sci-fi, fantasy, tv shows, movies, comic books, graphic novels, books, tabletop/board/RPG/video games, anime and cosplay), STEAM (Science, Technology, Engineering, Arts and Mathematics), or maker (handmade or 3-d printed items). If you are unsure whether your business qualifies, email jhetzel@ctcd.edu for clarification. Vendors that sign up but do not fall into an approved category will be refunded any fees paid.
  • Vendor Booth (one 6' or 8' table and two chairs). Electricity available for a $10 fee upon request, based on availability. Vendor booths are open Saturday and Sunday only. 
  • Vendor listing/link on website. 
  • Includes up to two 3-day wristbands for entry to EGX and two Vendor Parking Passes. Additional wristbands can be purchased at a reduced rate of $15 each.
  • A 10% discount is available for returning vendors through January 31, 2019. A 10% discount is available for CTC students and employees (can NOT be combined with returning vendor discount). A $10 discount is available for vendors who host at least two panels/programs or assist with a contest during the event (can be combined with returning vendor OR CTC Student/Employee discount). Vendors who run a minimum of 12 programs or committee members who also run a program/contest may be eligible for a complimentary booth . Artist Alley: $65-$115

  • $65 for artists that register and pay before Jan 31, 2019
  • $80 for artists that register and pay Feb 1-Apr 30, 2019
  • $115 for artists that registe rand pay May 1-16 (space available)

  • AA space is reserved for comic artists, illustrators, inkers, crafters and cosplayers only. All vendors selling other items must submit a Vendor/Sponsor Agreement. No retail stores selling artworks/items that were not created by the Artist.
  • AA booth (one 6' or 8' table and two chairs). Electricity available for a $10 fee upon request, based on availability. AA booths are open Saturday and Sunday only. 
  • Includes up to two 3-day wristbands for entry to EGX and two Vendor Parking Passes. Additional wristbands can be purchased at a reduced rate of $15 each.

Food Vendor: $100

FOOD VENDOR SPACES ARE LIMITED, AND ALL FOOD VENDORS WILL BE IN AN OUTDOOR LOCATION WITHOUT ELECTRICITY. YOU MUST BRING YOUR OWN GENERATOR OR OTHER POWER SOURCE.

  • Food vendors must provide menu, food handler’s card or health inspection/certificate, and proof of liability insurance listing CTC as an additional insured (minimum $1 million per occurrence) prior to arrival at event.
  • Includes up to two 3-day wristbands for entry to EGX and two Vendor Parking Passes. Additional wristbands can be purchased at a reduced rate of $15 each.

Jedi Knight Level Sponsor: $500

  • One annual membership to Mayborn Science Theater
  • Logo on event t-shirt (to be worn by event staff during the event) if commitment is received by March 21
  • Logo on all external publicity/advertising and EGX program (excluding advertisement preceding all Mayborn Science Theater programs)

  • Double booth space and prominent vendor booth location with lectricity included (vendor booths consist of two 6’ tables and four chairs). 
  • Up to eight 3-day wristbands for entry to EGX and eight Vendor Parking Passes. Additional wristbands can be purchased at a reduced rate of $15 each.

Costume/Reenactment Group and Nonprofits 

A limited number of booths will be available free of charge to Costume/Reenactment groups and Nonprofits that offer approved programs during the event. A maximum of ten 3-day wristbands will be given to each group. Email jhetzel@ctcd.edu for more info or to request a registration fee waiver for your group.
