128th Annual Council - Exhibits 

EXHIBITOR REGISTRATION INFORMATION

Early registration (through January 26, 2020) fees are as follows:

Diocesan non-profit group - 1 table = $125, with electrical hook-up = $155

Diocesan non-profit group - 2 tables = $225, with electrical hook-up = $285

Vendor - 1 table = $175, with electrical hook-up = $205

Vendor - 2 tables = $275, with electrical hook-up = $335

Vendor - 3 tables = $375, with electrical hook-up = $465

Exhibit space is limited, so be sure to register early.

Payment is due no later than Sunday, January 26th to avoid a $25 late registration fee.

EXHIBITOR TERMS AND CONDITIONS

• The exhibitor assumes the entire responsibility and liability for losses, damages, or claims arising out of the exhibitor's activities on the Hotel premises and will indemnify, defend, and hold harmless the hotel, its owner and its management company, as well as their respective agents, servants, and employees, and the Episcopal Diocese of Southern Virginia, its agents, servants, and employees from any and all such losses, damages, and claims.
• Exhibitors must check in with the Council Office in the Allegheny Room at the Williamsburg Lodge prior to setting up exhibit space. All exhibit spaces are pre-assigned and may not be changed.
• Set-up for exhibits begins at 1:00 p.m. on Thursday, February 27th and at 7:00 a.m. on Friday, February 28th. Council convenes at 9:30 a.m. on Friday, February 28th. Exhibits must be dismantled no later than 4:00 p.m. on Saturday, February 29th.
• The exhibitor registration fee includes one 3 ft. x 6 ft. skirted table, one trash can, and two chairs. Easels, internet connections, and other set-ups are available from the Williamsburg Lodge for an extra charge.
• Neither the Episcopal Diocese of Southern Virginia nor the Williamsburg Lodge will be responsible for unsupervised equipment. Local security will be on duty day and night, but valuables are the responsibility of each exhibitor.
• Designation of exhibit space is provided at the sole discretion of the Episcopal Diocese of Southern Virginia.

You may pay by credit card or check.

Credit card payments are processed through PayPal. You do NOT need a PayPal account to make a credit card payment.

Please make checks payable to Episcopal Diocese of Southern Virginia and mark “2020 Annual Council Exhibitor” on the memo line. Checks should be mailed to:

Refund of Registration Fee

Cancellations through February 14, 2020 will receive a full refund.
Cancellations received after February 14, 2020 will not be refunded.

HOTEL RESERVATIONS

Each exhibitor will need to make their own hotel room reservations with the Williamsburg Lodge or The Woodlands. Reservations must be made on or before January 26, 2020 in order to be guaranteed the discounted Council rate. If making reservations by phone you will need to reference "Episcopal Diocese of Southern Virginia" in order to receive our group rate.

Disclaimer

The Episcopal Diocese of Southern Virginia reserves the right to cancel any event.  In the event of cancellation, registrants will receive a full refund.  We also reserve the right to substitute event presenters and modify dates and programs.
