Rules and Regulations
Exhibitor/Sponsor/Speaker/Advertiser shall be bound by the show rules and regulations set forth herein, and by such amendments or additional rules and regulations, which may be established by Event Management (GTC). References to “Event Management” herein shall be deemed to include the Event, Women Business Expo & Conferences, and the Managing Directors, Event sponsors, and duly authorized representatives, agents, or employees of the foregoing.
1. Assignment of Space. Space will be reserved for each vendor based on a first-come first-serve basis and finalized by Event Management upon full payment of space or package purchased.
2. Payment and Refunds. Full payment of space or package purchased will hold and guarantee space at The Event. Full payment is required upon completion and return of the signed and initial contract. No refunds will be made upon receipt of the contract and full payment of booth space or sponsorship. Payments are to be made exclusively to the Global Trade Chamber.
3. Termination of Contract. Event Management reserves the right to cancel this contract without further obligation at any time prior to the event opening by releasing Vendor or Sponsor from all future obligations under this Contract in the event a cancellation occurs due to fire, casualty, strike, embargo, injunction, an act of war, an act of God or any other like an emergency, the Event Management will give full credit for the amount paid towards the event when its rescheduled, for a future event or services of the Global Trade Chamber. In the case that the Vendor sponsor cancels participation for any reason, there are no cash or credit card refunds. If qualified will honor towards future events or advertising. The Event and Event Management shall not be financially or otherwise obligated in the event the Show is canceled, postponed, or relocated.
4. Transfer of Space Prohibited Vendor shall neither assign nor sublet all or any part of the space rented without written permission of Event Management and is expressly agreed that Event Management shall be under no obligation to grant such permission. Further, no Vendor shall exhibit, or permit to be exhibited the space, or permit to be exhibited therein, displays or advertising, materials of any sort bearing any name or form of advertising other than his/her own, or part of Exhibitor’s regular product or services.
5. Liability and Insurance Vendor is held responsible to insure his/her own exhibit, personnel, display and materials from any damage or loss through theft, fire, accident or other cause. Vendor shall maintain liability insurance with respect to both property damage and personal injury, with companies with sound responsibility authorized to do business in the state. It is expressly understood and agreed by the Vendor that he/she will make no claim of any kind against Event Management for any loss, damage, theft, or destruction of goods or exhibit; nor for any injury that may occur to himself/herself or his/hers explores while in the exhibition place, not for any damage of any nature, or character whatsoever, and without limiting the foregoing, including any damage to his/her business by reason of failure to provide space for an exhibit; or for any action of Event Management in relation to the exhibit of Exhibitor.
The Vendor shall be solely responsible to his/her own agents and employees, and to all third persons, including invitees and the public for all claims, liabilities, costs, damages, and expenses arising out of or relating to the custody, possession, operation, maintenance, or control of said leased space or exhibit, for negligence or otherwise relating thereto. By initialing below, Vendor does indemnify and hold harmless Event Management with proof that it is possession of paid-up liability insurance policy as aforesaid.
6. Third Party Dealings and Disclaimer of Responsibility Event Management, shall ascertain the person in charge of a services used in at or in conjunction with the Event, including parking, food concessions, and loading and unloading areas and Event Management shall serve as the liaison between Vendor and any such third party. Vendor agrees not to deal directly with any such third party without first obtaining the agreement of Event Management.
Notwithstanding the provision as set forth immediately above. Vendor or sponsor agrees that Event Management is not responsible for any aspect of parking, food concessions, loading and unloading areas, or any other facilities for services used in, or in conjunction with the Event.
7. Agreement Acceptance and Unwritten Rules Upon acceptance of this Contract by the Vendor and Event Management it shall be a legal binding Contract, provided that each party may cancel within the conditions of the Contract. Event Management reserves the right to make changes, amendments, and additions to these rules and such further rules and regulations, as it considers necessary for the good of the Event. Any matter specifically covered herein or in the Show prospectus are subject to decision by Event Management, and its decisions in any matters which may arise hereunder shall be final.
8. Under no circumstances are any other vendors allowed to promote their business at your booth unless approved by Event Management prior to the event.
9. Advertising will be done in good faith by show producers; however, there are no attendance guarantees.
10. Governing Law This agreement shall be governed by, construed and enforced under the laws of the State of Florida.
11. Event Management (GTC) reserves the right to use any photograph/video taken at any event sponsored by GTC, without the expressed written permission of those included within the photograph/video. GTC may use the photograph/video in publications or other media material produced, used or contracted by GTC including but not limited to brochures, invitations, books, newspapers, magazines, television, websites, etc.
