AIHEC FALL 2022 BoD Meeting

AIHEC is pleased to conduct our 2022 Fall Board of Directors Meeting in conjuction with the NIEA Annual Convention and Trade Show at the Oklahoma City Convention Center in Oklahoma City, OK.  Our host hotel is the Omni - Oklahoma City and some of our meetings may occur there, pending final confirmation from NIEA. (Note that the convention center and hotel are located right next to one another - about 50 or so feet apart.) Our board meeting events are as follows:

• Sunday, October 2, 2022: TCU Presidents Wellness & Selfcare Training (1:00 pm - 5:00 pm CT - in person only) 
• Monday, October 3, 2022: Fall board meeting  (Breakfast: 7:45 am; Meeting: 8:30 am - 5:00 pm CT - in person with option to participate virtually, if needed)
• Tuesday, October 4, 2022 (optional): AIHEC will host an optional 1-day AIHEC-HLC Peer Review Information Session & Training as an NIEA pre-meeting. This session is not part of the AIHEC official board meeting, but interested presidents are encouraged to attend. TCU ALOs, CAOs, and other interested TCU staff/faculty are strongly encouraged to attend. Separate registration is required. Registering here for the BoD meeting does not register you for the peer review training on Oct. 4.

The NIEA Convention and Trade Show  will take place October 5-8 at the Oklahoma City Convention Center. More information about the 53rd Annual NIEA Convention & Tradeshow can be found here. 

Board Meeting Details (Officer Elections):The AIHEC schedule of events, meeting agenda, and board materials will be distributed via email prior to the event. During the fall board meeting, the board will hold elections for officers, as elections are to be held at the fall meeting of every even numbered year. Any Director who has served as president of a Regular member for more than one year is eligible to run for any AIHEC office. Under the AIHEC bylaws, all our sitting officers may be re-elected if the board so desires because we are still under a national emergency order due to the covid-19 pandemic. Normally, the chair (only) is subject to a term limit of two terms. However, under section 8.07 of the AIHEC bylaws, the term limit on the board chair may be waived by the board during a pandemic/national emergency to help ensure continuity during uncertain times. Other officers are not subject to a term limit. (This includes the vice-chair, secretary, treasurer, and member-at-large/peacekeeper.)

Airport Shuttle or Ride Share: There is not a hotel shuttle that runs to and from the airport for any of the hotels listed. Airport Express, an airport shuttle company, does not require a reservation, and will take you to the hotel for approximately $25-$30 (one way). For more information click here. Rideshare companies such as Uber and Lyft are also options for transportation for approximately $20-$30 (one way).

Hotel & Convention Center Parking: Self service parking is available at the Omni-Convention Center Garage, which can be used for meetings at the convention center and for hotel guests. The cost is $2 per hour/$10 per day, but there are no in and out privileges (you must pay every time you exit the garage). The garage is located on the east side of the hotel at 15 SW 4th St. (Entrance on Cornett Drive.) Cash and card payments accepted. Street parking is also available throughout the area surrounding the Convention Center and at other additional lots. Parking fees vary. Please refer to the posted parking fees at each meter or lot. Click here for more information.

Airport: The closest airport to Oklahoma City is Will Rogers Airport. (Approximately 10 miles away from the hotels listed and the Convention Center.

Weather Averages: High of 73 degrees F, low of 50 degrees F. Be prepared for varying weather when you are outside. Bring a sweater for indoor meetings.

Event Dress: Business or business casual is recommended for this event.

What to Bring: Proof of current covid-19 vaccination is required. A photo or phone app copy of your vaccination card is acceptable. You are welcome to bring a laptop or other electronic device with chargers if desired.

Note About Health and Safety: AIHEC is closely monitoring the spread of the covid-19 virus, and we will continue to be guided by the recommendations from the CDC, local public health professionals, and the current health and travel guidance from the Oklahoma State Department of Health.  (See here.) AIHEC reserves the right to convert the board meeting to virtual should the situation warrant a change of plans; however, currently, there is no indication that this will be necessary.
